Listed event workflow ▼

Best for: Workshops, rehearsals, open mics, dance socials, independent album releases, and self-contained community gatherings.

  • Self-contained staffing: You bring your own equipment or operate without sound/light technicians. The venue does not provide dedicated production staff.
  • Instant publishing: Your show goes live immediately on the public calendar without waiting for multi-level director or technical approvals.
  • Flexible location use: You can schedule at an owned venue, a partner venue, or use an unmanaged location request for off-site popups.
  • Independent box office: Sell tickets via Stripe direct payout, offer free RSVPs, accept sliding-scale donations, or link directly to Eventbrite.
Managed event workflow ▼

Best for: Full theatrical productions, curated venue concerts, staged dance performances, multi-act festivals, and venue-produced programming.

  • Venue staff assigned: Venue Sound Engineers, Lighting Technicians, and Stage Managers are formally scheduled to run your technical production.
  • Volunteer & staff rostering: Integrated 7shifts rosters and volunteer portals coordinate door ushers, ticket scanners, and concessions staff.
  • Director & financial reviews: The event enters an approval workflow where venue artistic directors and facility managers confirm technical riders and dates.
  • FOH console integration: Day-of-show operations run through the live Front-of-House console with real-time door scanning and comp ticket issuing.

Location & venue selection process

How to select an owned space, request partner venue access, or register an off-site location request.

1

Your organization venues

Any venue or child room owned by your organization appears immediately in the venue picker tree. You can select the entire building or check individual sub-spaces (such as Main Stage, Studio B, or Lobby).

Instant access • No approval
2

Request access to partner venues

If you want to host your event at a partner venue that allows external bookings, select it and click "Request Access". This sends an in-platform access proposal to the venue manager with your message and dates.

Venue manager approval required
3

Address lookup & unmanaged requests

Use Google Places autocomplete to type any street address. If the venue is unclaimed, click "Use This Venue". If the address is brand new, submit an Unmanaged Location Request to create an unclaimed directory entry instantly with a use grant for your show.

Unmanaged location request

Why unmanaged location requests exist:

Producers often hold events in community parks, rented churches, pop-up warehouses, or living rooms. An Unmanaged Location Request registers the real address for your attendees’ maps and directions while generating an immediate use grant so you can publish your event without waiting for building owners to sign up.

Date & time selection

Public showtimes vs. facility rental windows

Understanding the critical difference between what ticket buyers see and how space reservations are calculated.

What attendees see

Public showtimes (event start & end)

These are the official performance times displayed on your public event page, directory search results, calendar feeds, and ticket confirmations.

Example show: "Friday night jazz"
Doors open: 7:00 PM
Performance: 7:30 PM – 10:00 PM
What the venue reserves

Facility rental window (load-in & cleanup)

The complete physical block during which you occupy the building. This protects your space from overlapping rehearsals and calculates accurate hourly rental pricing.

Facility access block:
Setup / Load-in: 5:00 PM (2 hrs before doors)
Cleanup / Load-out: 11:30 PM (90 mins after show)

Crucial step: Clicking "commit dates"

Selecting a date on the calendar places it into a pending queue. You must click "Add Date" / "Commit Dates" to officially lock each day and room into the event model. For multi-day runs, repeat this for each performance date.

Equipment & pricing estimates

Packages & rental calculator notice

Configure technical gear packages and understand how rental price estimates are calculated.

Understanding rental packages

Venues configure optional and required packages to cover sound engineering, stage lighting rigs, projector rentals, cleaning fees, and security. Packages can be bundled per day, per booking, or per hour.

Rental calculator estimate notice

The numbers and totals generated by the public Rental Quote Calculator are ballpark estimates and planning projections, NOT guaranteed or binding contract numbers. Final rental pricing is determined exclusively by the venue manager during booking review. Your final quote will reflect verified non-profit discounts, custom load-in schedules, custodial needs, holiday rates, and refundable security deposit terms.

Step-by-Step walkthrough

8 Simple steps to create & publish

Everything you need to know about setting up your listing, managing dates, adding ticket tiers, and going live.

1

Open your dashboard & start event creation

Step 1

Log into your Venue Family account and open your Dashboard. If you belong to multiple organizations, select the workspace producing this event from the organization dropdown. In the main navigation, stay on the Events tab and click the Create Event button.

2

Select "listed event" mode

Step 2

In the creation modal, choose Listed event for self-contained community productions that do not require venue staffing, or select Managed Event if your venue will provide sound engineers and volunteer shift coverage.

3

Fill in event details & description

Step 3

Provide your event’s public name, genre tags (e.g. Live Music, Dance, Theater, Workshop), age policy (All Ages, 18+, 21+), and rich text description. Use formatting to highlight performance schedules, intermission times, and parking guidance.

4

Configure dates, times & space

Step 4

Select your venue, assign specific rooms, set public door and showtimes, and configure load-in / cleanup hours. Remember to click "Add Date" to commit each performance date.

5

Select equipment packages & add-ons

Step 5

Review available venue equipment packages such as sound PA systems, theatrical lighting, projection, or cleaning services. Remember that calculator totals are ballpark projections pending manager review.

6

Upload promotional artwork & images

Step 6

Upload your 16:9 landscape promotional banner (1920×1080 recommended, up to 10MB). High-quality imagery significantly improves click-through rates across discovery feeds.

7

Set up ticketing & tag performers

Step 7

Create ticket tiers (General Admission, Early Bird, VIP), configure sliding scale pricing, or link an external ticket URL. Tag performing artists so the show syncs to their public profile.

8

Publish, embed & promote your show

Step 8

Hit Publish! Your show is live on the public discovery calendar. Share your event link, embed ticket widgets on your website, and track real-time sales on your dashboard.

Frequently asked questions

Common questions about listed events, ticketing, and limits.

What is the difference between a managed and a listed event?

A managed event includes complete venue operations: lighting engineers, audio technicians, volunteer shift scheduling, facility management, and director approvals. A listed event is designed for producers who only need a public listing, date publishing, online ticket sales, and promotional media without requesting venue staffing.

How does ticket revenue and payout work?

Ticket sales are processed by Stripe. When your organization connects its Stripe account under Finance, ticket revenue is paid out to you on your payout schedule. You can also see sales, guest lists and order summaries as they come in.

How many listed events can I create a month?

Each plan includes a monthly number of listed events: 12 on Free, 25 on Base, 50 on Medium, 120 on Large and 300 on Pro. On a paid plan you can go past it and each extra is billed at your plan's rate; the form tells your team before they submit.

Can I link to an external ticketing platform?

Yes! If you are already selling tickets through Eventbrite, Ticket Tailor, Pretix, or your own box office, you can enter your external ticketing URL during setup. The public event page will feature a "Get Tickets" button that directs attendees straight to your ticketing provider.

Venue Family is not owned, developed, or controlled by Eventbrite, and we are not an Eventbrite partner.

Can I change a listed event to a managed event later?

Not yet. The kind is set when the event is created. If an event grows, create it again as a managed event.

Need help configuring your event schedule or ticketing?

Our support team can walk you through managed staffing options, rental cost estimates, unmanaged location requests, or ticketing questions.
