How to manage shifts & volunteers

Stop juggling spreadsheets, messy group texts, and last-minute callouts. Learn how Venue Family automates staffing requirements from your calendar, coordinates volunteer sign-ups, syncs with 7shifts, and powers show-night door operations with the Front-of-House console.

Rules engine

Automated staffing requirements

Define staffing policies once. As new events and rental dates are added, the system provisions exact required rosters.

Headcount & capacity triggers

Set dynamic rules based on projected audience attendance. For example, shows in the Main Auditorium with anticipated ticket sales exceeding 150 automatically spawn 1 Lead House Manager, 1 Sound Engineer, and 3 Door Ushers.

Package & rider triggers

When an event producer selects an optional "Concert Lighting Package" or "Bar Service Add-on", the system automatically appends the corresponding Lighting Tech and Bartender shifts to the event schedule.

Community engagement

Public volunteer portals & sign-ups

Seamless integration

7shifts rostering & payroll synchronization

Bridge event production with hospitality staffing using our native 7shifts synchronization.

For venues running paid hospitality and front-of-house staff, Venue Family integrates directly with 7shifts. Every event date’s required staffing slots are mirrored directly into your 7shifts roster. When staff clock in or request time off, status updates synchronize bidirectionally, preventing double-booking and simplifying end-of-month payroll.

Show night command center

Front-of-House console & door check-in

Operate smooth, professional doors with our dedicated mobile-ready console.

High-speed QR scanning

Usher staff scan attendee ticket QR codes using smartphone cameras or tablet kiosks with instant visual and audio verification.

Live will-call & comps

Look up attendees by last name, check in VIP guest lists, and issue instant comp tickets with real-time capacity counter updates.

Self-service reliability

Shift swaps & confirmation workflows

Cut no-shows with email invitations and shift swaps among your own staff.

Staff are invited to shifts by email. If a conflict comes up, they can offer their shift to a colleague, who is told by email, or post it for anyone who can work it. Once someone accepts, the schedule updates, after a manager approves it unless the shift type is set to approve swaps automatically. Text-message invitations and reminders are in progress.

Frequently asked questions

Everything you need to know about scheduling shifts and organizing volunteers.

Can volunteers sign up without creating an account?

Yes! Community members can browse your public volunteer opportunities and sign up with their name, email, and phone number without creating a password. They hear about their shifts by email; text-message reminders are in progress.

How does two-way 7shifts synchronization work?

When you connect 7shifts under Organization Settings, shift requirements generated by your event calendar push into 7shifts as open or assigned shifts. Timecards, clock-ins, and schedule modifications sync back automatically into Venue Family.

What happens if a volunteer needs to swap a shift?

They offer it from their shifts page in Venue Family, either to a colleague or to anyone who can work it. When someone accepts, your shift managers get an email asking them to approve the swap, unless the shift type is set to approve swaps automatically.
