Pricing, package & discount cascades

How rates, equipment add-ons, and non-profit discounts flow down from parent venues to child rooms.

A

Base hourly rates & minimum duration

Each space sets its own base hourly rental fee (e.g. $150/hr for the Main Stage, $45/hr for the dance studio). You can enforce minimum booking windows (such as a 3-hour minimum for performances and 2-hour minimum for rehearsals) to ensure bookings cover staffing and cleaning overhead.

B

Automatic cascading packages

Packages defined at the parent venue level (such as Sound Engineer Technician, Lighting Rig, Projector, or Custodial Cleanout) automatically cascade down to every child room. A space can either inherit parent packages or introduce child-specific gear.

C

Discounts: Claimed vs. verified

Offer sliding scale, 501(c)(3) non-profit, or multi-day discounts (e.g. 20% off rentals). Renters can claim discounts during intake, but discounts remain provisional until venue administrators verify eligibility and lock the binding contract.

D

Security deposits & settlement terms

Configure refundable security deposits (typically $250 to $500 held on card) alongside payment schedules (e.g. 50% deposit upon contract signature, remaining balance due 14 days before showtime).

Setting up your organization

Create your collaborative workspace and invite team members.

1

Create your organization workspace

Org setup

You can create an organization in three quick ways on Venue Family:

During signup

When registering a new account, enter your organization name during the onboarding checkout.

From your profile

Open Profile Settings, scroll to Organization Management, enter your organization name, and click Create Organization.

Organization switcher

Click your current organization in the top navigation bar to open the switcher and create a new workspace.

As the creator, you are automatically assigned the role of Organization Admin with complete administrative authority.

2

Invite team members & assign roles

Team roles

Collaborate with your full staff by inviting them via email with precise permissions tailored to their responsibilities:

Admin: Full authority over billing, bank payouts, contract templates, system settings, and user management.
Manager: Manages venue listings, responds to rental quote inquiries, edits schedules, and approves events.
Staff: Executes day-of-show operations: Front-of-House Console, door check-in, ticket scanning, and shift management.
Member / partner: Submits event proposals, creates listed community events, and connects artist discovery profiles.
Part 2

Creating and listing your venue

Walk through each field in the Venue Creator to publish your space.

3

Access the venue creator

Step 3

In your organization console, navigate to Venues in the sidebar, then click the "New Venue / Location" button. You can also directly access the creator at /org/create-location.

4

Enter venue details, location & contact

Step 4

Provide your venue’s core identity and physical location:

  • Name & type: Select "Venue" for a full building/facility, or "Location" for an individual room or studio.
  • Physical address: Enter street, city, state, postal code, and country. Venue Family uses address data for search radius calculations and interactive map markers.
  • Public contact information: Add a booking inquiry email, public phone number, and official website URL.
  • Description: Share your venue’s mission, acoustic qualities, architectural character, and past notable performances.
5

Configure capacity, rates & amenities

Step 5

Clear specifications help event producers evaluate if your space fits their production requirements:

Capacity & dimensions

  • Maximum Guest Capacity (seating & standing)
  • Total square footage
  • Base hourly rental rate (USD)

Amenities & policies

  • Accessibility (wheelchair accessible ramp/bathrooms)
  • Tech gear: Sound PA, lighting grid, projector
  • Rules: Alcohol permitted, fire/flame permitted, parking, decibel limit
6

Add spaces & multi-room stages

Step 6

Does your venue house multiple studios, rooms, or performance stages? Enable "Child Locations" in the creator. You can define each sub-space (such as "Main Stage", "Rehearsal Studio A", "Black Box") with its own unique capacity, square footage, hourly price, and photography. Renters can choose to quote individual spaces or bundle them together.

7

Upload high-resolution photos & gallery

Step 7

Visuals are the number one factor in converting rental inquiries. Upload a wide landscape hero photo (PNG, JPG, or WEBP up to 10MB) showing the room filled with performance lighting or audience seating, followed by gallery images of the stage, sound booth, dressing rooms, and foyer.

8

Publish to directory & enable rental quotes

Step 8

Click Create Location to publish your venue! It is immediately discoverable in the Find a Venue directory with full search filters. Event organizers can now use the Rental Quote Builder to check date availability, estimate hourly costs, and submit direct booking inquiries into your organization dashboard.

Team & operations

Staff, roles & shift management

Coordinate front-of-house staff, volunteer crews, and technical engineers with tailored roles and scopes.

Access control

Granular roles & scopes (all vs. own)

Every team member has a tailored role (Admin, Manager, Staff, Member, Tech) and an assigned Scope:

  • Scope "all": Grants authority across the entire organization’s venues, events, finances, and calendar.
  • Scope "own": Narrows authority exclusively to events the user produces (ideal for guest directors and resident artists who need to edit their own show without seeing venue bank details).
Operations

Shift types, rosters & volunteer portals

Venue Family provides complete day-of-show staffing tools for live production:

  • Shift types & requirements: Define positions like House Manager, Sound Engineer, Stage Lighting Tech, Box Office Usher, and Concessions.
  • Volunteer Portals & 7shifts: Staff can claim shifts through the volunteer portal or sync with your venue’s 7shifts schedule.
  • FOH console door scanning: Staff run the door using the mobile-ready Front of House console with live attendee check-in and comp ticketing.

Frequently asked questions

Everything you need to know about managing organizations and venues on Venue Family.

Can an organization manage multiple venues?

Yes! An organization can own and manage multiple distinct physical venues or properties. Each venue can have its own address, sub-spaces, amenities, and hourly pricing, while sharing your organization’s central team members, financial accounts, and billing.

What if our venue is already listed as unclaimed?

If your venue is already indexed in the directory as an unclaimed location, do not create a duplicate listing. Instead, navigate to the venue’s page and click "Apply to Manage This Venue". Our team will verify your relationship with the venue and transfer ownership directly to your organization.

How do rental quotes and booking inquiries work?

Prospective renters visit your public venue listing and open the Rental Quote Builder. They pick their dates, times, needed rooms, and add-on packages. The quote calculator computes the estimated total, and when submitted, an inquiry is routed directly to your organization console where managers can accept, modify, or send contracts for electronic signature.

How do payouts and financial settlements work?

Venue Family integrates directly with Stripe Connect. Under Finance, link your organization’s bank account. When renters pay security deposits, hourly rental fees, or event attendees buy tickets, funds are deposited directly to your bank account with complete automated accounting ledgers and settlement reports.

Can I embed our venue calendar on our existing website?

Yes! Venue Family provides an official WordPress plugin and responsive iframe embeds so your public calendar, venue quote builder, and booking forms display seamlessly on your custom website domain.

Need help setting up your venue spaces or rates?

Our support team can help you verify your organization, map venues and their spaces, configure custom rental rates, or process an unmanaged venue takeover.
