Eliminate scheduling conflicts, double-bookings, and endless email chains. Learn how Venue Family handles self-service availability requests, weekly recurring schedules, 30/60/90-day team roster views, manager approval workflows, and automated shift clash prevention.
Venue Family provides a precise availability engine designed for real-world performing arts centers, theater venues, and community event crews.
Proactively declares specific windows when a staff member or volunteer is eager to work. When positive available periods exist, the shift engine verifies that assigned call times fit completely inside these hours.
Defines when someone is off the clock, on vacation, or unavailable due to other commitments. Approved unavailable periods serve as hard blocks across shift claiming, invitations, and roster assignments.
Specific date and time ranges with starts_at and ends_at timestamps. Supports an all-day toggle for vacations, holiday closures, or full weekend outages without needing hour-by-hour entries.
Recurring schedules anchored to a day of the week (Sunday through Saturday) with exact start and end times. Supports optional effective date boundaries (effective_from and effective_until) for semester or seasonal rosters.
Empower your volunteers, sound techs, and front-of-house staff to submit their own schedules without back-and-forth messaging.
Team members navigate to Profile Settings > Availability Management. If they belong to multiple venue organizations, a clean picker lets them scope each entry to the correct team.
Users toggle between One-time and Weekly modes, select their availability type, enter start and end dates or times, and add an optional reason note for team context.
Self-service submissions enter the requested status with an amber badge. The staff member sees their pending requests immediately and receives confirmation once reviewed.
Review all team availability at a glance under Organization Schedule without leaving your production dashboard.
Switch effortlessly between Next 30 days, Next 60 days, and Next 90 days. Spot upcoming vacation crunches during holiday seasons and proactively recruit volunteers before show dates.
When a team member calls in sick or requests time off via text, managers can select their name from the staff picker and record the blackout directly. Because the manager has authority, direct entries are stamped approved immediately on save.
Review, approve, or decline pending availability requests with full audit accountability.
The pending requests queue only renders submissions for the active organization workspace. Managers with multi-tenant duties never see crossed data.
Managers can approve with one click or decline with optional review notes to provide context back to the staff member (e.g. "Overlaps with mandatory dress rehearsal").
Every decision persists the reviewer user ID, timestamp, and notes, ensuring leadership has clear history for seasonal reviews and dispute resolution.
Approved blackouts are checked before anyone is booked, so people are not scheduled for times they have said they cannot work.
Any approved unavailable period overlapping the shift window triggers a hard refusal during shift assignment, self-claiming, and shift invitations. The system surfaces: "User is unavailable during this time."
If a user records positive available periods, the shift call must be 100% contained within their available hours. Gaps or partial overlaps are rejected: "Shift is not fully within the user's available hours."
When a volunteer offers a shift swap, Venue Family checks the availability of the proposed recipient. Someone with an approved blackout that day cannot accept the swap by mistake, which helps prevent day-of-show no-shows.
Keep your external calendars synchronized with your venue availability records.
Whenever an availability period is saved, changed, deleted, or restored, the change is sent to connected calendars automatically.
Syncs cleanly with Google Calendar, Apple iCal, and Outlook. Staff can subscribe to their personal roster feed directly on their smartphones.
Available periods are categorized with sage green styling, while unavailable entries render as distinct out-of-office blackout blocks.
Everything you need to know about managing availability for volunteers and venue staff.
Volunteers log in to their account, navigate to Profile Settings > Availability Management, choose their Organization, select One-time mode, set Type to Unavailable, choose the start and end dates, and click Save. Their request enters the manager review queue.
If any time-defining field (starts_at, ends_at, day_of_week, start_time, end_time, or all_day) is edited after an entry was approved, Venue Family automatically demotes the record back to requested. This ensures volunteers cannot alter their approved hours without manager review.
Yes. Managers can open Organization Schedule > Availability, pick any team member from the staff dropdown, and enter or edit periods. Entries created directly by managers are stamped approved immediately upon save.
Only approved periods are enforced. A pending request does not block shift assignment until a manager approves it in the approvals queue.
When a team member offers a shift swap, the availability of the recipient is checked. If the recipient has an approved blackout during that shift, the swap is blocked with an explanation.
